Answer in public, fix in private
Deleting a complaint tells the next hundred readers you hide problems. Reply in public with one short line that shows you read it, then move the details to a chat or a phone call.
A reply that works, every time
Keep it short and specific. Long defensive replies always look worse than the complaint.
- Say what happened in their words, so they know you understood.
- Say what you are doing about it, with a time.
- Give one way to reach a real person.
- Stop. Do not add why it was not your fault.
Never argue about who is right
People reading are not judging the facts, they are judging your temper. The shop that stays calm looks like the safer place to spend money, even when the complaint was unfair.
Keep the fix, it is content
If two people complained about the same thing, that is a video. Show the change you made. Customers believe a business that admits something and mends it far more than one that has never been wrong.
